About the Reports Menu
The VIP System is supplied to you with a number of Standard Reports, which provide the information required to administer your payroll effectively.
The reports on the Reports Menu are categorised into the following main sections:
- Financial Reports, such as Company Reconciliation, Payroll Register, Remuneration List, 12 Months, Financial Detail, etc.
- Statutory Reports, such as UIF Submission, IRP5/IT3(a)’s, EMP201, BCEA, OID Report, etc.
- Separate Payslip Reports (VIP Premier Payroll and VIP Classic Payroll),
- Non-Financial Reports, such as Bank Info, Personal Info, Leave, Birthday List, etc.
- User-defined Reports, customised to cater for all your payroll needs.
How to Access the Reports Menu
- Click on Reports.
- Click on Reports and Maintenance.
- The Reports 1 –100 Menu will be displayed.

On the Reports 1 – 100 Menu, all the above-mentioned payroll reports are found.
How to Use the Options on the Reports Menu

Hard Coded Reports have 99 detail lines per employee on the Report Control Line.
Option | What do I need to do? |

Add |
This option may be used to add a report.
|
Edit |
This option is used to make changes to existing reports.
Hard Coded Reports cannot be changed.
|
Delete |
This option is used to delete reports that are no longer in use.
Hard Coded Reports cannot be deleted.
|
Copy |
Reports may be copied from one line number to another.
Hard Coded Reports cannot be copied to another line, but may be moved to another line, using the CS - Change Sequence option.

Real No |
This is not the number next to the report, but a unique number allocated to each report. When you receive updates or enhancements, or want to export/import reports, the reports are referred to by their Real Number, due to the fact that the order of the reports may be altered on screen.

CS (Change Sequence) |
This option is used to move reports from one line to another.
|
CC (Change Cheque Print Positions) |
Click on <CC> if you need to change the Cheque Print Positions.

CP (Change Payslip Positions) |
Click on <CP> if you need to change the Payslip Print Positions.

List |
Click on <List> if you want to see more detail about the reports.
|
Help |
Click on <Help> for a listing of all the selection codes for types of Memos, Tax Statuses, Employee Statuses, Pay Methods, etc.

NXT |
This option is used to check all available Real Numbers for all companies within a specific Group.
|
Rn co's |
This option is used to check if the Real Number of a specific report exists within a Group of companies.

Option | What do I need to do? |

This option is used to print reports.
|

Print * |
This auto print option is used to print all reports marked with an "*", which means that they are to print automatically.
All the Reports marked with a #, are tax year-end reports. The # will automatically change to an * in the last period of the tax year and these reports will then be included in your Auto Print function.

Range |
This option is used if you want to print the report for a range of employees.

Cons |
This option is used to print a selected report in which the information for a group of companies is consolidated into a single report.

Group |
This option is used where the selected report is to print separately for each company in the group.
|
PC/Print Cheques |
This option may be used to access the printing of cheques.
|
PP/Print Payslips |
This option may be used to access the printing of payslips.

Guidelines | When you click on this button, the VIP Checklists folder will be opened from where any of the useful payroll processing, tax year-end, frequently asked questions checklists may be viewed/printed. |
PSP Companies | When you click on this button, a Print Preview screen will be displayed explaining all steps to follow to ensure that your PSP Companies are legislatively compliant for the 2012/2013 Tax Year. You may print this information, if required. |
Update Report | When you click on this button, a Print Preview screen will be displayed explaining everything that you need to do to ensure that your system is up to date after an update, e.g. completing and updating all relevant IRP5 Code information for all employees. You may print the information, if required. |
